Archive-IT quickly scanned all the current files of Stichting Centrum ’45, so that their business operations could continue. Stichting Centrum ’45, the national institute for specialist diagnostics and treatment of psychotrauma complaints, recently switched to an Electronic Patient File. Managing Director Twan Driessen explains: “Employees were reluctant to work digitally. After all, paper has an emotional value”. After Centrum 45 had decided to switch to an EPD, their archive had to be digitized rapidly.

Impossible?

“It was an impossible job”, says Mr. Driessen. “But within seven days, Archive-IT made more than 2200 files with about 290,000 images available to us digitally.” All ongoing files had to be scanned, while clients come back weekly for treatment. “It was an enormous logistical operation that was successfully completed. When we switched to the digital file, all the scanned images were ready on the secure connection between Archive-IT and Centrum ’45. These could therefore be approached directly.”

Good partner

“Employees immediately saw the advantages of the digital file.” They don’t just have to go to the secretariat to see a file anymore. They can simply consult the file on their PC. They can also view and analyse specific target groups via the system. “Due to the privacy sensitivity of our files, we needed a good partner in which Archive-IT excelled”, says Managing Director Twan Driessen.

Operating efficiency

“Before I came to work at Stichting Centrum 45, I worked as a general practitioner”, says Mr. Driessen. “I already had a digital file there. When I came to work here, everyone was still working with a paper file. I thought it was old-fashioned to still work with paper files. The most important reason for Centrum ’45 to switch to a digital file was that the management proved impossible. You can’t streamline anything, you can’t bring efficiency to the entire treatment process and if you can’t manage it digitally and if you can’t make measurements about it, the management is impossible. Tools can now also be built into staff files, forcing them to go through a number of processes that are important for quality, which is not possible with a paper file. Many files are now closed every year and with a paper file you have to go through that file per file. Now you can do that at the push of a button and all the files for that year have been closed.”
